Cookie Consent Flow

  1. The cookie banner appears when the user visits the website for the first time.
  2. Cookies are not set before the banner appears.
  3. Ideally, essential cookies should not be placed until the user has a chance to view the banner. Should there be a need to place cookies before displaying the banner, such requirement should be reviewed by the Ethics and Compliance Department.
  4. Cookies that are required to enable a certain functionality that the user requests, i.e., to remember form details while navigating pages, should be placed only when such functionality is used.
  5. The “Accept All” button triggers the placement of all non-essential cookies. The website remembers the user’s choice, and the banner is not shown again until the retention period for consent (cookie) expires.
  6. If the user clicks the “Reject Non-Essential Cookies” button, none of the non-essential cookies are placed and the website remembers the user’s choice, therefore the banner is not shown again until the retention period for consent (cookie) expires.
  7. When first asked for consent through the cookie banner, if the user clicks on the “Cookie Settings” button on the banner, a pop-up appears containing the preferences menu. The user expresses their consent by selecting the toggles next to each cookie category. The toggles are unselected until the user clicks on them. Then the user clicks on the “Save Preferences and Continue” which triggers the placement of selected categories of cookies. The user can click “Accept All” in the preferences menu, which triggers the placement of all non-essential cookies. If they click “Reject Non-Essential Cookies” in the preferences menu, none of the non-essential cookies are placed and the website remembers the user’s choice.
  8. On every other occasion, if the user selects only certain categories of cookies in the preferences menu, after they click on “Save Preferences and Continue” only those categories they selected are placed and used. Other non-selected categories are not placed on that user’s device. The toggles on should reflect users’ choice given when interacted with the banner or preference centre on the previous occasion.
  9. The user can change their preferences at any time via the “Cookie Settings” option in the footer of the webpage.
    1. When the user clicks on the “Cookie Settings” button a pop-up appears containing the preferences menu.
    2. The user expresses their consent by selecting and unselecting the toggles next to each cookie category. The toggles for cookies the user has already accepted are selected while the toggles for cookies that the user has not yet accepted are unselected until the user clicks on them.
    3. Then the user clicks on the “Save Preferences and Continue” which triggers the placement of selected categories of cookies and the website stops using the cookies which have previously been selected but are now unselected.
    4. The user can click “Accept All” on the preferences menu, which triggers the placement of all non-essential cookies that have not been previously placed. If they click “Reject Non-Essential Cookies” the non-essential cookies that have already been placed are not used anymore, none of the other non-essential cookies are placed and the website remembers the user’s choice.
  10. If the user clears the cookies in the browser settings, the cookie banner appears again upon their next visit.
  11. If new cookies within an already existing category of cookies are implemented on the website, the cookie banner must appear again and those cookies must be included in the cookie policy.
  12. If a category of cookies is implemented on the website, the cookie banner must appear again and that category must be mentioned in the cookie banner, the Cookie Settings centre and cookie policy. The cookies must be listed out in the cookie policy.
  13. There must be a link in the cookie banner leading to the cookie policy.
  14. The banner should reappear periodically – where the users do not clear their cache nor remove cookies otherwise, and no new cookies or categories are added. Ideally this should occur every 6–12 months.
  15. Ensure that the consent is recorded, e.g., a record of consent contains timestamp, consent preferences per category, who gave consent, status etc., and is retrievable.
